We at UBI4ALL respect, value and protect personal data of all individuals who interact with us. On this page, you will find detailed information about what data we might acquire about you and how we handle your data. UBI4ALL is a service by EBI Politische Teilhabe in Europa gemeinnützige UG (haftungsbeschränkt), Handelsregisternummer HRB 13163 NP.

Principles

Our guiding principles for dealing with personal data are:

  • We do not collect more data than absolutely necessary for any given purpose.
  • We only use data for the purpose it was collected for.
  • We do not disclose your data to third parties.
  • We keep track of all processes through which we acquire personal data.
  • We ensure that additional controls are in place for financial information.
  • If you want to know, we can inform you about what kind of data we store about you at any time.
  • Upon your request, we will delete personal information we have collected about you.
  • All staff and volunteers at UBI4ALL who have access to your data understand the importance of keeping your information safe and secure at all times and are required  to sign a Data Confidentiality Agreement with UBI4ALL .

We make sure that appropriate physical, technical and human controls are in place to ensure we take good care of your information. However, we would like to point out that while we do our best to protect your privacy, UBI4ALL cannot guarantee 100% security of information shared with us over the internet. Some ways of online data exchange – such as unencrypted e-mails – are always at some risk of being intercepted by third parties without your or our knowledge. Therefore whenever you transmit information to us, you do so at your own risk. Once we receive your data, we make every effort to try to ensure its security on our systems.

We cannot be responsible for the privacy policies and practices of other websites even if you access them using links from our websites and recommend that you check the policy of each site you visit.

Sometimes we may transfer information submitted by you to a service provider outside the European Economic Area (EEA) – which may include a country that does not have the same level of data protection as within the EU/EEA. In these circumstances, we take all reasonable steps to ensure the safety and security of your information as set out in this Privacy Policy, including adhering to the EU-US privacy shield agreement.

Newsletter and Info-Mails

On various places on our website, you can sign up for our newsletter. Usually we will only ask you for your email address. In some cases we might also ask for your name and country to personalise our communication to you. We will only use this information to send you the newsletter by email. Your sign-up will only become effective once you have verified it by clicking on the link in the confirmation email we then send to the email address you have provided (double-opt-in procedure).

You can unsubscribe at any time by clicking on the unsubscribe link in the footer section of any of the newsletters you have received from us.

To circulate our newsletter, campaign updates and information mails to our members, we use the online tool "Brevo". See their terms of use.

To improve the quality of the newsletters we are sending to you and to make them more informative for you, we can make use of Brevo’s tracking function. This allows us to see when you have opened a particular newsletter and if you clicked on any of the links in the newsletter. Only a very small group within our Team has access to this information and we do not share these insights within the entire UBI4ALL organization or with third parties (other than perhaps in the form of anonymised, aggregated statistics).


Donations

In order to handle donations and to collect funding for the Raffle, we use third-party tools. Through these, you might be asked to provide data that identifies you as donor and the purpose of your donation. Further information might be required to provide you with a receipt. This data can only be accessed by the Treasurer, his/her Assistant(s), and our Accountant strictly for purposes related to accounting and fulfilling our information obligations towards the tax authorities where our organisation is settled. In the future, we might ask external accounting service providers to help us with our accounting obligations, in which case we might share the data from these transactions with them, under the conditions of strict confidentiality and non-disclosure.

Currently we use the following payment handling services:

  1. The transaction handling tool "Stripe". See their privacy notice.
  2. The tool "PayPal". See their Privacy Policy and Legal Agreements.

Cookies

Cookies are small text files that are placed on your device to help us give you a better experience of using our website. Cookies do lots of different things, such as allowing us to personalise the website to your requirements, estimate the number of visitors to our site, including the source and patterns relating to this traffic, understand how visitors use the site, and how we can enhance this experience.

Third party tools

Some of the third party tools we have embedded on some of our pages might use cookies to collect anonymised information about you. If you are logged in to your account with these service providers (list below), information about your visit to our website might be connected to your profile information. UBI4ALL does not have access to this data. If you want to prevent other services to record data about your visit to UBI4ALL's website, please make sure you log out of your profile there before visiting our site.

At this point, we use tools from the following third-party providers on some pages on our website:

  • On some of our pages we embed maps and forms provided by Google LLC. In some cases we might also link to documents stored on Google’s servers. In very rare cases (e.g. such as signing up for events or other activities organised by UBIE) we might use Google Forms to collect personal data. See Google’s privacy policy..
  • On some pages, we embed videos from YouTube, a service of Google LLC. See Google’s privacy policy for YouTube.

Please be aware that if you are logged in to these services, they can track your visit to those of our pages where these tools are embedded.

Hosting and log files

Our websites are hosted by Siteground. SiteGround is a holding of companies registered in the USA, UK, Bulgaria, and Spain that manages four offices and several datacenter locations around the world. https://www.siteground.com/company

Our websites are composed with the tool "Wordpress" This tool is in agreeance with the Terms of Service of Automattic, WordPress' parent company.

All our webforms use SSL (“Secure Socket Layer”) technology to ensure the security of the information you transmit to us.

Contact for data handling requests

We will hold your personal information on our systems for as long as is necessary for the relevant activity, and meet any legal or regulatory requirement. This is so that we can provide the services or information you have requested, to administer your relationship with us, to ensure we don’t communicate with you if you’ve asked us not to and to comply with the law.

You have, under certain legal conditions, the right to request:

  1. information on what data we store about you
  2. changes of the data we store about you
  3. access to your data being limited
  4. deleting of personal information we store about you.,
